Publishing content items

Now that you've finished perfecting your content and are ready to display it to the world, it's time to publish your content. Doing so makes it publicly accessible through our Delivery API.

    You can publish content items only when their content meets the criteria defined by content type. This means that elements with limitations must have correct values and required elements must be filled in.

    Publishing a content item

    To publish a content item:

    1. From the app menu, choose Content & Assets .
    2. Click a content item to open it for publishing.
    3. Click Publish .
    4. Click Publish at the bottom of the side panel.

    A short time after publishing, your content item is publicly available via the Delivery API.

    Note: If Publish is not shown in step 3, this means that the current workflow step cannot transition to Publish based on your project's workflow setup. The item must first go through all the necessary steps, for example Review and Approval. You can customize your content workflow according to your specific needs.

    The system changes the workflow step of the given content item to Published and the content item becomes publicly available.

    If the content item is composed of the content items linked within the Linked items elements or the Rich text element, these items aren't published and remain in their own workflow steps. This does not apply to components, as they are a natural part of the Rich text element and get published together with the parent item.

    Resolving incomplete content

    If the system tells you that your content item cannot be published yet, make sure all the elements are filled in correctly.

    To quickly find elements that need your attention in the current content item, you can use the "left to complete" indicator shown on the Details tab. Clicking Details opens the sidebar where you can click on the Elements left to complete to be taken to the incomplete items.

    What's an incomplete element? This includes elements that:

    • Are set as required but empty.
    • Do not meet a set limitation, such as the maximum number of characters for a text element.

    Publishing multiple content items

    To publish two or more content items at once:

    1. From the app menu, choose Content & Assets .
    2. Select the content items you want to publish.
    3. Click More actions .
    4. Select the Publish action.
    5. Click Publish at the bottom of the side panel.

    A short time after publishing, the selected content items are publicly available via the Delivery API.

    Note: Content types, sitemap locations, and taxonomy groups are not affected by publishing – they are always published. When you modify content types, sitemap, or taxonomy groups used by published content items, the changes will appear immediately.
